Parent’s Meeting Minutes
January 19, 2010
Meeting called to order at 6:00 p.m. by Colleen O’Driscoll.
Attendees:
Colleen O’Driscoll, Krista Byrne, Cheri Spuhl, Rebecca Vergara, Dana Judge, Michelle Monk, Laurie Maddox, Kristy Jones, Jennifer Celeski, Sarla Scherlis, Laurie Porter and Susan Stevens.
Colleen called the meeting to order at 6:00 p.m.
We discussed needed items for the upcoming Winterfest. Most importantly, bodies!!! We need many parents to make this meet a success and comfortable for everyone involved. PLEASE sign up to help in some area for this event. We will have an athlete schedule soon so you can determine when your child is competing and help decide at what times you can help and in which area. Remember that as a team member parent you are required to help at events as discussed in the Parent Handbook. Please volunteer also to bring items for hospitality for the judges, preferably casseroles, fruit trays, veggie trays, cheese & crackers, tea & soda. Colleen sent out an e-mail earlier in the week regarding hospitality food. We will be obtaining a Sam’s membership to purchase supplies for the concession stand which will also benefit other upcoming events. Set up will be on Friday, January 29th during the day before 3 p.m., time will be announced later. There will be Friday night athlete warm up time probably from 6-8 p.m. We have T-shirts that we will be adding to the athlete’s goody bags and Elease Oliver has donated items for those bags as well. We will have an action photographer if anyone would like to purchase action photos. Cheri will look into getting table skirts for judges’ tables or we will purchase them for future events. We have been given permission to borrow a microphone from the Matrix for the awards room. Tables are being donated by various family members and we will rent 200 chairs from Mullins. Spotters on the floor will need to do a short safety class with Joy prior to the event. Only ATHLETES can be in the staging area, we will need help to keep this room in order so that the athletes can be ready to compete when it is their allotted time.
Treasurer’s Report: $6,099.88 with outstanding expenses of about $3000.00.
We discussed expenses and tried to clarify. The fee paid at the beginning of the season was to cover meets for the year, depending on whether your child is traveling or non-traveling. This fee also covered their USAG membership which is $100/year, the fee didn’t cover regional and national competitions, those will be determined by funds left over at the time of these events, in the spring & summer. Mobility meets which are usually held at our gym are included in these fees. We have to pay judges to come to those meets, as well as a fee to the gym. Any fundraisers would help to deter these expenses.
